How RxRep Protects Your Data

What RxRep does to protect field data and keep visit records trustworthy, and, just as important, what it does not claim.
At a Glance
RxRep is field force and sales software for pharmaceutical teams. It is built to keep each company's data separate, to show managers who can see what, and to make visit and sample records hard to fake. It is not a validated regulatory system, and this page says so plainly.
How We Protect Your Data
Encrypted connections
RxRep is served over HTTPS (TLS) on the web and in the Android and iOS apps.
Protected passwords
Passwords are stored hashed, so nobody at RxRep can read them, and they must be at least 8 characters long.
Two-step sign-in
Available for every user, with a code from an authenticator app or sent by email.
Role-based access
Each role decides, module by module, what a person can see and do: their own records, their team's, or the whole company's.
Separate company data
What a signed-in person can look up is limited to their own company, so one company does not see another's records.
Session control
People can see the devices they are signed in on and sign them out.
Field Records You Can Trust
Visit verification
- Every doctor and pharmacy visit records the rep's GPS location at the moment it is logged.
- The location is compared with the doctor's or pharmacy's saved location, and a visit logged far away is flagged for the manager to review.
- A company can ask for a photo with visits, or require one: with every visit, or only with the first visit of the day.
- Visits saved without signal keep their original time and location. If the phone's clock looks wrong, the visit is sent to a manager for review.
Samples
- Stock is issued to reps and every handout is recorded on the visit, in a full ledger.
- A limit can be set for how much a doctor receives in a period, and the manager is alerted when a handout takes a doctor over it.

Approvals and audit trail
- Visit plans, tours and expense claims go to the right manager for approval.
- We keep an audit trail of important actions, such as sign-ins, changes to users and permissions, and when RxRep support signs in as a user to help them. Each entry has the time, IP address and device type.
Your Data and Your Privacy
- The company controls its data. RxRep processes it on the company's behalf.
- Location is read only when a rep records a visit or marks attendance. RxRep does not track people in the background, and it never uses the microphone.
- We do not sell personal information, and the signed-in app has no third-party analytics or advertising tools.
- You can ask for your data to be corrected, exported or deleted by email.

What RxRep Does Not Claim
Regulated companies need straight answers, so here they are.

| PDMA and similar sample-accountability rules | RxRep keeps a ledger of the samples issued to reps and records each handout, but it has not been assessed against PDMA or similar rules. Companies subject to them should check RxRep against their own requirements first. |
| HIPAA and patient data | RxRep is built for business contact details of healthcare professionals, not patient records. Do not enter patient health information. |
| ISO 27001, SOC 2 | RxRep does not currently hold these certifications. |
| Integrations (SAP, Oracle, IQVIA) | No ready-made connectors. Reports export to Excel and PDF and doctors can be imported from a file. Tell us what you need and we will say honestly whether we can do it. |
| ERP and marketing functions | RxRep covers distributor stock and orders, not a warehouse, batch tracking or manufacturing. It does not do closed-loop marketing, congress tracking or email journeys. |
