What is pharma sample management software?

Free samples are one of the biggest promotional costs in pharma, and one of the hardest to account for. Sample management software records each step: stock arriving at the warehouse, stock issued to a medical rep, samples handed to a doctor during a visit, and anything returned or written off.

With RxRep, samples are part of the visit itself. When a rep logs a doctor call, they record which samples they gave, so stock, visits and doctors always match up. Managers see who holds what, which doctors receive the most, and when a rep goes over the agreed limit.

Why do pharma companies need sample management?

  • Samples disappear without a clear record of who received them
  • Spreadsheets drift away from the real stock reps are carrying
  • No way to see which doctors get the most samples, and whether it pays off
  • Over-sampling a few doctors goes unnoticed until stock runs out
  • Audits need proof of each handout, not a total at month end

Key Features

Warehouse stock

Keep the company's sample stock by product, with batch numbers where you use them.

Issue to reps

Managers hand out sample stock to their reps, and each rep sees exactly what they hold.

Samples on the doctor visit

Reps record the samples they gave while logging the visit, so every handout is tied to a doctor, a date and a location.

Doctor signature

Choose per role whether the doctor's signature is required, optional or not needed when samples are given.

Limits and alerts

Set how many samples of a product a doctor should receive; going over the limit alerts the rep's manager.

Returns and write-offs

Record unused samples going back to the warehouse, and damaged or expired stock written off.

Full sample ledger

Every movement is kept: who issued it, who held it, who received it and when.

Doctor sample history

See everything a doctor has received over time before deciding on the next visit.
